Work order aging drags that invisible accumulation into the light. It shows not just how many orders are open, but how long they have been open, and whether the oldest ones deserve to still be waiting.
What it actually measures
Work order aging is the age of each active work order in days, from the date it was created to today, with the orders then sorted into bands, typically 0 to 30 days, 31 to 90, 91 to 180, 181 to 365, and over 365. The result is a portrait of the queue: how the open work spreads across the age bands, and whether any band is swelling beyond where it ought to be.
How to read the shape
Work order age (days) = Today's date - Work order creation date
Group every open order by band and read the shape of the result. In a healthy backlog the youngest bands hold most of the work and the oldest hold almost none. If the 181-to-365-day band starts to bulge, or a cluster of orders creeps past a year, those are the ones that need either a completion plan or an honest decision to cancel. The distribution, not any single old order, is what tells the story.
What good looks like
There is no single universal target age, because the right answer depends entirely on priority. The common-sense approach, used widely rather than mandated from above, is to set band targets by urgency: safety work cleared within a day, high priority within a week, medium within two to three weeks, low within three to four, and shutdown work ready about a month before the outage. Review the bands often, at least monthly and better still as a standing item in the weekly scheduling meeting, and flag anything past ninety days, and certainly past a year, for an active decision rather than another quiet month in the queue.
The temptation to purge, and why to resist it
When the aged backlog grows uncomfortable, the obvious move is to sweep it clean: cancel or defer everything old and small in one go, and enjoy a tidy list by Monday. Resist the blanket version of that instinct. There is a well-known trap here, because small jobs have a habit of becoming big jobs, and a low-priority work order left undone for a year is often a failure quietly maturing into an expensive one. Cancelling genuinely dead orders is good housekeeping; mass-deferring legitimate small work to flatter the numbers is how a plant deletes its way into next year's breakdowns. Aging should drive a deliberate, job-by-job decision, never an indiscriminate purge.
Where it can mislead you
- Outage and standing work orders are legitimately open for long stretches, so treat them separately rather than letting them pollute your delinquency picture.
- Aging tells you that orders are old, not why. Pair it with work order cycle time and standing work orders to get the diagnosis, not just the symptom.
- The age bands and their targets must be defined and applied consistently across the whole plant, or the picture means nothing.
- A band drifting out of target is a trigger for investigation, not a verdict. The cause might be missing resources, a wrong priority, or a scheduling failure, and only a look will tell you which.
Work order aging turns a sprawling, intimidating backlog into something you can read at a glance. It is the difference between a queue that silently silts up out of view and one you manage deliberately, deciding with open eyes what gets done, what gets escalated, and what should finally be let go.
